  • The following application is a contract

  • Any refund of show fee is at the discretion of event coordinators

  • Any exhibitor or vendor who fails to set up for the event shall forfeit their space and no refund will be given

  • Money will not be refunded due to poor weather conditions

  • Deadline for filing application is JUNE 1, 2024 as spaces allow

  • You must provide own tent, table/chairs and weights to secure tent.

  • You must provide your own generator if your exhibit/concession needs power

  • You are responsible for the clean-up of your area during and after the close of the event

GENERAL RULES & REGULATIONS:

  • Akron Pride Festival will exercise its right to reject inappropriate booth content prior to or during the show

  • Anyone that is serving /selling food must submit the proper application to be a food vendor through Summit County Health Department

  • Set up and tear down of the booth are the responsibility of the vendor

VENDOR REGISTRATION:

  • Details of the day will be announced as the date approaches

    Thank you for choosing to be a part of the Akron Pride Festival! This year, the festival will take place Saturday, August 24th and will be located Downtown Akron, Below you will find vendor load in and load out information for the day of the festival.

    • FRIDAY (August 23th) – Optional Early Load-In

    • This year, we are happy to offer load-in time slots the night before the festival for anyone who would like to set up their space early. If you plan to load-in on Friday, you must contact Greg Nyburg at vending@akronpridefestival.orgwith your business name and expected arrival time.

    • Load-in will be available Friday night after 4:00 PM and will end at 8:00 PM.

    • When you arrive to load in please check in with the Akron Pride Festival representative at the Church and Main intersection. There you will receive your vendor location.

    • When setting up please make sure the front right leg of the tent is on the plot marker (front right is determined by looking at the tent as a patron would).

    • SATURDAY (August 24th) – Day-Of-Festival Load-In

    Load in will begin at 7:00 AM the day of the festival.

    • When you arrive please check-in at the vendor check in table located under the marquee of the Akron Civic Theatre. From there you will be directed to the area your plot is located in where a vending volunteer will take you to your spot.

    • We ask that all vendors unload vehicles at their vending location, remove vehicles from the festival footprint, then return to set up their site. This will help to ensure that all vendors can easily access their spot. All vehicles must be removed from the festival footprint no later than 9:30 AM.

    • LOAD-OUT

    • The hours of the festival this year have been extended to 10:00 PM since we are located Downtown.

    • Vendors will optionally be able to start loading up their sites as early as 7:00 PM.

    • Please note that since the festival will still be active, no cars will be permitted on the festival footprint until the festival has ended at 10:00 PM.

TENTS WILL BE ON HARD SURFACE AND MUST BE WEIGHTED FOR THE SAFETY OF ALL

 LIABILITY:

Exhibitor agrees to protect, save and keep Akron Pride Festival, all presenting sponsors and their representatives and agents forever harmless from any claims or charges imposed for violation of any law or ordinance whether occasioned by the negligence of the exhibitor, or those holding under or through the exhibitor, and exhibitor shall indemnify and hold them harmless against any and all loss, costs, damage, liabilities, causes of action, debts or expenses arising from or by reason of any injury to exhibitors, their employees, agents or guests or property from any cause whatsoever prior, during or subsequent to the period covered by the contract. When acts of God, work stoppages or any other cause not within the control of show management make it impossible for exhibitor or any of his materials to occupy or function in the show premises, the exhibitor shall waive any claim for damages or compensation. IN ADDITION, EXHIBITOR FURTHER ACKNOWLEDGES THAT INSURANCE COVERING THE EXHIBITOR AND HIS PROPERTY AGAINST DAMAGE, PROPERTY AND BUSINESS INTERRUPTION LOSSES ARE THE SOLE RESPONSIBILITY OF THE EXHIBITOR.
